UNDERSTANDING THE CHANGES

What Is the Private Rented Sector (PRS) Database?

England is introducing a national registration system for private landlords and rental properties. The aim is to provide a clearer record of properties in the private rented sector and help landlords, tenants and local authorities understand and uphold their responsibilities.

01 / WHO

Who needs to register?

Private landlords with qualifying rental properties in England, subject to the government’s published rules.

02 / WHEN

When does it begin?

Registration is being introduced in regional stages, with different opening dates and deadlines.

03 / WHERE

Which region applies?

The location of each rental property determines its registration window, not the landlord’s home address.

Properties in more than one region?

Whether you live in Leicester or elsewhere, each rental property follows the timetable for its own location. Our guidance covers landlords with portfolios across England.

Preparation, not government registration

CRS Matrix helps organise property information and compliance records. The official registration service is operated by the government, and its guidance remains the definitive source.

OFFICIAL REGISTRATION TIMETABLE

PRS Registration: Regional Dates and Deadlines

England’s Register your rental property service is being introduced region by region, starting in the West Midlands on 15 December 2026. The registration deadline depends on where the rented property is located, not where the landlord lives or their business is based.

Properties across several regions?

Based in Leicester but own properties elsewhere in England? We can help organise information across your entire portfolio. Each property follows its own regional deadline. Government guidance allows properties in different regions to be registered together from the service launch, provided each deadline is met.

What Information Will Landlords Need to Register?

Before registering, gather the following information. The exact requirements depend on the property and landlord circumstances.

Landlord details

Identity, contact information and relevant ownership or organisation details.

Property information

Rental address, accommodation details and other property information required by the service.

Tenancy and rent

Occupancy, tenancy arrangements and relevant rent information.

Safety and energy records

Gas safety details where applicable, electrical inspection evidence (EICR or EIC) and EPC information.

Property licensing

Any applicable HMO, additional or selective licence details.

Agent arrangements

Details and supporting records where a letting agent or property manager assists.

Government registration fee

The government fee is £65 per property annually, subject to transitional adjustments during rollout. This is separate from any optional CRS Matrix preparation service.

Keep your registration up to date

Registered information that changes or expires must generally be updated within 28 days. Always refer to official guidance for the full requirements.

For letting agents: The government says agents and property managers may assist with certain information, but landlords must start their own registrations and remain legally responsible. We can discuss portfolio preparation support for your agency and landlord clients.

CRS Matrix provides independent preparation and record-organisation support, not official government registration. Information checked 31 October 2026. Official landlord guidance · Official letting agent guidance.

FOR LETTING AGENTS AND PROPERTY MANAGERS

Supporting Landlords Across Your Managed Portfolio?

Managing registration preparation for multiple landlords can be challenging, particularly when properties fall into different regional registration windows. CRS Matrix can help letting agents coordinate available property information, organise existing certificates and identify gaps across managed portfolios. Landlords remain responsible for their own registration, and agents should follow the government guidance on what assistance they can provide. Our approach is practical, organised and supported by real people.

Landlords with properties in different regions

You might live in Leicester and own properties elsewhere, or live outside the area and let a property in Leicester. Registration deadlines follow each property’s location, not the landlord’s home address. We can discuss preparation support for portfolios spanning several regions.

HOW CRS MATRIX CAN HELP

Your Property Paperwork. Sorted.

Gas safety certificates in emails, electrical reports with a letting agent and boiler records held by contractors. Property paperwork can quickly become scattered. CRS Matrix helps research available property information, request existing records from authorised contacts and bring the documents together into a clearer picture, so you can see what you have and what still needs attention.

Property Research

Research available information relating to your property address.

Document Collection

Contact your letting agent, contractors and other authorised document holders to request existing certificates, reports and relevant paperwork.

Certificate Information

Extract relevant details from the certificates and documents received.

Organised Property Record

Bring the available property information and paperwork into one organised record.

Identify Missing Information

Highlight documents or details that could not be located or still need attention.

Clear Written Summary

Receive a straightforward summary of what’s been gathered and any outstanding gaps, without requiring a particular file format or subscription.

We request records from third parties with your authorisation. Availability and response times depend on the organisations holding them; we cannot guarantee that every document can be obtained.

THREE SIMPLE STEPS

Getting Started Couldn’t Be Simpler.

Give Us Your Address

Tell us the property address and who might hold your paperwork. You can forward PDFs, send photographs or authorise us to contact your agent or contractor.

02 · WE GET TO WORK

We Do the Groundwork

We research the property, contact authorised agents and contractors to request existing records, and organise the available documents and information.

03 · WE BRING IT TOGETHER

Receive Your Organised Record

Receive your organised property information and a clear written summary of what we’ve gathered and anything still missing.

WHY CRS MATRIX?

Property Experience Behind Every Record.

CRS Matrix brings over 20 years of experience working with landlords, letting agents and contractors across Leicestershire. We understand how property paperwork becomes scattered, how certificates end up with different organisations and why retrieving information can be time-consuming.

Our Done For You service combines that practical property experience with our existing digital infrastructure to research, gather and organise available records. You’ll deal with real people who understand property compliance, not a complicated spreadsheet or another subscription to manage.

Real people doing the groundwork. Technology helping us keep it organised.

PROPERTY HISTORY MATTERS

Better Organised Today. Easier to Manage Tomorrow.

Our PRS preparation approach is supported by MyMatrixHub®, the CRS Matrix property information platform. It is designed to help bring property records, certificates and compliance history together, rather than leaving important information scattered across emails, folders and different contacts. Joining our priority list simply registers your interest in preparation support. It does not create a MyMatrixHub® account, require a subscription or commit you to a purchase.

Where portal access is offered, we will explain the available options separately. Owner Hub supports one property per landlord account.

PRS Preparation Priority List

Tell us a little about your rental properties and we’ll contact you about PRS preparation support. Registering your interest does not place an order or create a MyMatrixHub® account.

YOUR QUESTIONS, ANSWERED

Everything You Need to Know.

Answers about the forthcoming preparation service, official registration and what joining our priority list means.

What is the Done For You PRS preparation service?

It is a one-off CRS Matrix service to research available property information, request existing documents, organise records and provide a clear written summary of any gaps. It helps you prepare for government registration, but it is not the registration itself.

How much work do I need to do?

Tell us the property address and where paperwork may be held. You can forward documents or send photographs, and authorise us to approach relevant contacts. We’ll take care of the agreed groundwork and ask you to confirm anything important.

Do I need to find all my certificates first?

No. Gathering existing records is part of the service. If you have certificates or reports to hand, send them over, but you do not need to assemble everything before getting started.

Will you contact my letting agent or contractors?

Yes, with your authorisation. We can request relevant existing certificates, reports and paperwork from your letting agent, contractors or other authorised document holders. Their response and the availability of records are outside our control.

What if some documents cannot be found?

We’ll identify the missing information in your written summary so you know what still needs attention. We cannot guarantee that every historic document can be recovered or that a missing certificate can be replaced without a new inspection.

What will I receive when the work is finished?

Our planned preparation service is designed to provide organised property information and a written summary highlighting gaps. We’ll confirm the final deliverables and MyMatrixHub® options before you place an order.

Does CRS Matrix complete the government registration?

No. Our planned service helps research and organise property information. Official registration, submission and government fees are separate and remain the landlord’s responsibility.

Will I have to pay the government registration fee every year?

The government has announced an annual registration fee. Landlords should check the latest official guidance for the applicable fee, renewal requirements and deadlines. This is separate from any CRS Matrix service.

How does MyMatrixHub® fit in?

MyMatrixHub® is our property records and compliance information portal. We’ll explain the access options and any service inclusions when the preparation service becomes available. Joining the priority list does not open a portal account.

Can I update certificates and records myself?

Available features depend on the MyMatrixHub® access option. Self-managed updates and contractor document-sharing are part of our development plans, and we’ll explain what is available before you sign up.

Can you help with more than one property?

Yes. We welcome landlords with single properties and larger portfolios, including properties across different regions of England. Tell us the approximate number and locations when registering your interest.

Does this guarantee my property is compliant or registered?

No. Organising information does not replace statutory inspections, certificates, repairs or the official registration process. We highlight gaps, but landlords remain responsible for meeting legal requirements.

Are you part of the government registration service?

No. CRS Matrix is an independent commercial provider and is not affiliated with or endorsed by the government.
