However You Manage Your Portfolio, We’re Here to Support It.

Some landlords manage property full-time. Others balance their investments with careers, businesses or family life. Many use tenant-find-only services, a managing agent for some properties, or a dedicated person to help run the portfolio.

You don’t need to change what already works. We fit around your arrangements, helping with the practical work while keeping the right people informed.

Self-Managing Landlords

You remain in control of your properties and decisions. We help arrange inspections, coordinate with tenants and explain what happens next.

Landlords With Other Commitments

You may be running a business, working elsewhere or simply valuing your free time. We aim to reduce the calls, chasing and paperwork that interrupt it.

Mixed or Agent-Managed Portfolios

Some properties may be with agents, others self-managed or supported by your own team. We can work with the agreed contacts and help keep records organised.

Portfolio Compliance Without the Constant Chasing

A dependable partner isn’t just someone who turns up for an inspection. It’s someone who understands the people involved, communicates clearly and follows through.

Practical answers for portfolio landlords

Frequently Asked Questions

Whether you manage your properties yourself, use letting agents or work with your own contractors, these answers help explain what to expect.

How You Manage Your Portfolio

What counts as a portfolio landlord?

There is no single property number that defines every portfolio landlord in everyday use. Generally, the term describes someone who owns several rental properties. Some manage property as a full-time business, while others invest alongside another career or business. The right support depends on how you manage your properties, not just how many you own.

Can I use a tenant-find-only letting agent and manage the rest myself?

Yes. Many portfolio landlords use an agent to find tenants and then manage maintenance and compliance themselves. CRS Matrix can take instructions from you and, with appropriate authority, coordinate inspections and tenant appointments directly.

Can you work with a mixture of self-managed and agent-managed properties?

Yes. You can tell us who is responsible for each address. We can communicate with the appropriate landlord, agent or portfolio manager for the instructed work, while MyMatrixHub® can help organise the property records.

Do I need to hand over management of my properties to CRS Matrix?

No. CRS Matrix provides compliance and engineering support, not a requirement to transfer your property management. You retain control of decisions and authorisations, and we work with the arrangements you already have.

Can I use my existing contractors and still keep one property history?

Yes. MyMatrixHub® supports relevant records from different contractors through available submission processes. You do not have to instruct CRS Matrix for every job. Independent contractors remain responsible for their own work.

I have another business and little time to chase appointments. Can you help?

Yes. With suitable authority and contact information, we can coordinate relevant tenant appointments and keep you informed about progress, findings and next steps. You remain involved when decisions or authorisations are needed.

Compliance, Appointments & Property Support

What landlord compliance services does CRS Matrix provide in Leicester?

We help landlords with Gas Safety Certificates (CP12), boiler servicing, Electrical Installation Condition Reports (EICRs), PAT Testing, Legionella Risk Assessments, EPCs and related electrical remedial works. We can also discuss combined requirements for individual properties or portfolios.

Can you contact my tenant and arrange access for an inspection?

Yes. With the appropriate authority and contact details, our team can contact tenants to explain the visit, discuss availability and coordinate access. This saves landlords from managing every appointment themselves.

What happens if my tenant does not answer or an appointment cannot be arranged?

We make reasonable attempts to contact the tenant and keep the instructing landlord or agent informed when access is proving difficult. If an appointment cannot be agreed, we will discuss the next practical steps rather than treating the inspection as completed.

Can you collect keys from my letting agent?

Key collection can be arranged where agreed in advance and practical for the appointment. Please tell us who holds the keys and any collection or return instructions when booking.

Do I need to attend the property during an inspection?

Not necessarily. Where suitable access has been agreed with the tenant or keyholder, many inspections can take place without the landlord attending. We will advise if anything needs your input.

Can you coordinate Gas Safety and boiler servicing in one appointment?

Yes. Where both are requested, we normally arrange the Gas Safety inspection and boiler service together. An EICR requires a separate appointment, so we will explain the booking arrangements clearly.

How often does a landlord need a Gas Safety Certificate?

For rented properties with relevant gas appliances or flues, landlords generally need a gas safety check every 12 months by a Gas Safe registered engineer. The record must also be provided to tenants within the applicable legal timescales.

How often is an EICR required for a rented property in England?

In most private rented homes in England, electrical installations must be inspected and tested at intervals of no more than five years, or sooner if the report specifies. Other requirements may apply depending on the property and tenancy.

Is PAT Testing legally required every year for landlords?

There is no blanket rule requiring annual PAT Testing for every rented property in England. Landlords must ensure electrical appliances they supply are safe. The appropriate inspection and testing frequency depends on the equipment, its condition and risk.

Does every rented property need a Legionella Risk Assessment?

Landlords have duties to assess and control Legionella risks in rental properties. The assessment should be proportionate to the water system and risks present; a fixed annual or two-year certificate is not automatically required for every home.

Can you help with an Energy Performance Certificate (EPC)?

Yes. We can help arrange an EPC for landlords who need to establish or update a property’s energy rating. EPC requirements and exemptions depend on the property and circumstances.

What if an EICR identifies C1, C2 or FI observations?

We explain the report findings and can prepare a quotation for appropriate electrical remedial work or further investigation. Urgent safety concerns must be addressed promptly, and landlords should follow the relevant legal timescales for corrective action.

Can CRS Matrix manage compliance for more than one rental property?

Yes. Whether you have two properties or a larger portfolio, we can discuss scheduling, access arrangements, service requirements and a practical way to keep information organised.

How do I know which inspections my property actually needs?

Tell us about the property, its gas and electrical installations, appliances and tenancy arrangements. Our team can help identify the relevant services and explain where a specialist assessment or further information is needed.

How does MyMatrixHub® help landlords keep compliance records?

MyMatrixHub® brings property compliance information and supporting records together, helping landlords review completed work, documents and items that may need attention without searching through separate emails and files.

Can documents from my own contractor be included in MyMatrixHub®?

MyMatrixHub® supports information and documentation from external contractors through supported submission processes. Ask our team how this works for your property and service arrangement.

Does CRS Matrix use its own engineers or external contractors?

For properties in Leicester and our local service area, CRS Matrix uses its own in-house engineering team. For properties outside our local coverage, we can work with approved, vetted contractors where the service is available. Landlords are also welcome to use their own chosen contractors and have the relevant documentation included in their MyMatrixHub® property records through the supported submission process. You retain flexibility over who carries out the work.

What should I look for when choosing a landlord compliance contractor?

Check the contractor’s relevant competence and registration, whether the scope and price are clear, how tenant access is handled, how defects and remedials are reported, and how certificates and property records are supplied. Ask who will complete the work and what happens if further work is needed.

Why use a compliance partner instead of several separate contractors?

A coordinated provider can reduce repeated booking conversations, improve visibility of outstanding work and make certificates and follow-up easier to manage. Some specialist services still require different engineers or separate visits.

Can you help if my letting agent normally arranges inspections?

Yes. We work with landlords and letting agents. We can coordinate with the person authorised to instruct the work and agree how appointments, reports and certificates should be communicated.

How do I book or speak to someone about a special requirement?

You can book services online, use our contact form or call 0116 212 2182. If you have multiple properties, unusual access arrangements or several inspections to coordinate, tell us what you need and we will discuss the options.

Do you provide emergency heating for tenants when a boiler fails?

Temporary heating may be provided where specifically authorised and appropriate to the circumstances. It is not automatically left at every breakdown; the job instructions and agreed arrangements determine what can be supplied.

MyMatrixHub® & Portfolio Records

How are additional works and repair costs approved?

If an inspection or diagnostic identifies further work, we provide findings and, where appropriate, a proposal explaining the scope and cost. Work requiring separate authorisation is not treated as automatically approved.

Can I keep certificates and job records together for different properties?

MyMatrixHub® is designed to bring relevant certificates, property history and available job information together against individual property records, making it easier to review a portfolio without searching separate email chains.

Can my own electrician or gas engineer contribute records to MyMatrixHub®?

MyMatrixHub® supports processes for including relevant documentation from contractors outside CRS Matrix. This helps keep a fuller property history even when different contractors carry out work.

Do I have to use CRS Matrix for every job to use MyMatrixHub®?

No. MyMatrixHub® is intended to help organise property information beyond work undertaken directly by CRS Matrix. Available features and service options depend on the account arrangement.

Can landlords outside Leicester use MyMatrixHub®?

Yes. MyMatrixHub® is available UK-wide. CRS Matrix’s own on-site gas, electrical and maintenance services are focused on Leicester and the surrounding Leicestershire area.

How do I manage different certificate renewal dates across a portfolio?

Start with a reliable record for each property and the relevant inspection dates. MyMatrixHub® helps bring compliance information together, while our team can discuss scheduling local inspections and the practical next steps for upcoming requirements.

Can CRS Matrix support properties between tenancies?

Yes. We can discuss Gas Safety checks, electrical inspections, diagnostics and authorised remedial work when a property is changing tenants. Tell us the intended tenancy dates and access arrangements so we can plan appropriately.

What is the first step to arranging ongoing portfolio compliance support?

Contact our team with the number and approximate locations of your properties, the services you require and whether tenants or an agent manage access. We can then discuss a practical approach tailored to your portfolio.

Can CRS Matrix coordinate compliance for a portfolio of rental properties in Leicester?

Yes. We can discuss inspection requirements across several Leicester and Leicestershire properties, coordinate suitable visits and help organise follow-up work. The approach depends on each property, its access arrangements and the services required.

Is CRS Matrix suitable for landlords with five, ten or twenty properties?

Yes. You do not need to manage a large estate to benefit from coordinated compliance. We work with landlords managing several properties as well as letting agents. Tell us how many properties you have and what support you need.

Can you work with my existing letting agent or property manager?

Yes. We regularly coordinate with letting agents and property managers. We agree who can instruct work, who arranges access and who receives updates, reports and quotations, helping avoid crossed messages.

Will I need to arrange every tenant appointment myself?

Not necessarily. Where you authorise us and provide appropriate contact details, our team can communicate with tenants, explain the appointment and help arrange access. We understand tenants’ schedules and the importance of respectful communication.

What happens when tenants cannot provide access?

We make reasonable contact attempts and keep the instructing landlord or agent informed if access is proving difficult. We will discuss alternative arrangements where appropriate; an inspection cannot be recorded as complete if access was not obtained.

Can inspections at several properties be arranged together?

We can discuss grouping suitable appointments to reduce administrative effort, subject to engineer availability, property locations and access. Some services require separate visits, so we will explain what can realistically be combined.

Can you help when a property fails an electrical inspection?

Yes. Where an EICR identifies issues requiring attention, we can explain the findings, prepare a proposal for remedial works and arrange authorised repairs. The inspection and any additional repairs are separate unless agreed otherwise.

Can you handle boiler breakdowns as well as planned compliance inspections?

Yes. CRS Matrix offers boiler diagnostics and repairs alongside planned gas and electrical compliance services in our local service area. A diagnostic visit identifies the problem; any replacement parts or further repairs are quoted or authorised separately.

What if a repair is needed while a tenant is living in the property?

We consider the practical requirements of an occupied property, including access, communication, safety and disruption. Where additional work is required, we explain the next steps and obtain the necessary authorisation before proceeding.
