MATRIX
AGENT COMPLIANCE

Letting Agent Compliance & Maintenance Support

Your Properties. Your Landlords. One Trusted Partner.

Behind every well-managed property is a team working hard to keep everything moving.

We understand the demands placed on letting agents. The inspections that need arranging, the tenants who need contacting, the landlords waiting for answers and the unexpected repairs that never arrive at a convenient time.

Across Leicester and Leicestershire, CRS Matrix brings experienced engineering, thoughtful coordination and clear communication together to help your property management team feel supported.

Because a good contractor should make your working day easier, not add to it.

More Than a Contractor. A Partner to Your Property Management Team.

Your property managers have enough to deal with without constantly chasing contractors, appointments, reports and paperwork.

At CRS Matrix, we understand that completing the technical work is only part of the job. What happens before and after an engineer attends matters just as much.

From receiving your instruction to coordinating tenant access, communicating findings and explaining the next steps, our experienced team helps keep the process moving.

Because good property management depends on good communication.

How We Support Your Property Management Team

Behind every instruction are people who need answers. We combine experienced engineering, considerate tenant contact, clear reporting and office coordination to help your property managers, landlords and tenants know where things stand.

Compliance Scheduling & Coordination

From Gas Safety checks and EICRs to other property inspections, we help your team coordinate work across addresses, tenants and renewal dates. Appointments and outcomes are recorded, reducing the need to chase individual bookings.

Tenant Communication & Access

A rental property is somebody’s home. We approach tenants respectfully, explain the reason for our visit and coordinate access where authorised. When arrangements change or access is difficult, we keep the property manager informed of the situation.

Diagnostics, Repairs & Maintenance

Our support goes beyond issuing certificates. From heating faults and boiler repairs to electrical diagnostics and remedial work, we investigate problems, record findings and explain practical options, helping agencies understand the issue rather than simply react to a symptom.

Clear Reports & Detailed Proposals

Property managers and landlords should not need an engineering qualification to understand a recommendation. We explain what we found, why it matters and what work is proposed, distinguishing urgent concerns from other recommendations where appropriate. Detailed scopes help people make informed decisions.

Job Progress & Communication

Has the instruction been received? Has the tenant been contacted? Is a visit booked? What happened on site? We know these are the questions your team gets asked. Our office coordination and available job updates help property managers follow progress without repeatedly starting the conversation again.

Continuity, Accountability & Follow-Through

A job may finish with a satisfactory report, a recommendation, a quotation or a need for further authorisation. We help make that outcome and the next action clear. If a landlord has questions about our findings or proposals, we are approachable and prepared to explain our recommendations.

Respect for the People Behind Each Property

The property manager has a demanding workload, the landlord has an investment to protect and the tenant has a home to live in. We consider all three. Our engineers focus on competent, courteous work, while the wider CRS Matrix team supports communication and coordination around the visit.

Organised Records & Agency Oversight

Staff and contractors can change, but the property’s history still matters. Relevant reports, certificates, recommendations and work records can be brought together, with MyMatrixHub® supporting digital visibility of recorded compliance status, outstanding actions and available reasons for delays.

Need an Individual Inspection?

If you simply need to book a Gas Safety Certificate, EICR, boiler diagnostic or another compliance service, our main Compliance Hub provides service details and direct booking options.

How Working With CRS Matrix Feels

A familiar team. A clear process. People who understand that every instruction represents a property manager, a landlord and somebody’s home.

We want working with us to feel straightforward from the very first conversation, with thoughtful communication and practical support at every stage.

01

A Conversation, Not a Complicated Onboarding

Tell us about your agency, the properties you manage and the things that currently take up your team’s time. Whether you’d like to start with a handful of jobs or discuss broader support, we’ll listen first and agree a sensible way forward.

02

Send Your Instruction. We’ll Take It From There.

Your property manager sends the job details and any access information. Our office team receives the instruction and helps coordinate the next practical steps, so your team knows who is handling it.

03

We Treat Your Tenants Like People

Where authorised, we contact tenants to arrange a suitable visit and explain what to expect. We understand that appointments must fit around real lives, and that a respectful, considerate approach makes a difference.

04

Experienced Engineers, Thoughtful Service

Our engineers attend to carry out the instructed inspection, diagnostic or authorised work. They focus on safe, competent work and recording useful findings, supported by the office team and structured reporting behind the scenes.

05

Clear Findings. No Technical Guesswork.

We’ll explain the outcome in language that property managers and landlords can understand. If further work is needed, our proposals set out what we found, why it matters and what we recommend, distinguishing urgent issues from other improvements where appropriate.

06

A Clear Next Step, Whatever the Outcome

Some jobs are complete after the visit. Others need a decision, a quotation, materials or another appointment. We help identify what happens next and coordinate further work once authorised, rather than leaving your team with an unexplained report.

07

The Property’s Story Stays Together

Relevant reports, certificates and available job updates can be organised through MyMatrixHub®, helping your team find the information they need. The platform supports visibility, while CRS Matrix remains the team delivering your locally instructed service.

You Don’t Have to Move Your Whole Portfolio to Get Started.

Start with a few instructions. Get to know our people, see how we communicate and judge the experience for yourself. We’d rather earn your confidence through the work than ask you to take our word for it.

Let’s Have a Conversation

Your Properties. Your Compliance. Your Confidence.

Introducing MyMatrixHub®

When you’re responsible for dozens or hundreds of properties, confidence comes from knowing where things stand. What’s current? What’s approaching renewal? What needs attention? And if something is outstanding, why?

MyMatrixHub® is a dedicated digital property compliance management platform for letting agents and landlords. It brings recorded compliance information, supporting documents, outstanding actions and property history together, helping your team find answers and understand the next step.

See What Needs Attention

Clear red, amber and green indicators help you review recorded compliance status, approaching renewals and matters requiring action, alongside the information held against each property.

Understand What’s Outstanding

An outstanding item needs context. Where recorded, your team can see whether the next step involves tenant access, further work, authorisation or another reason for delay.

Support Property Managers and Directors

Property managers need to know what’s happening with individual instructions. Agency directors need a clearer view across the portfolio. MyMatrixHub® helps both find the information relevant to their decisions.

Keep Property History Together

Certificates, inspection records, relevant job details and recommendations build a history around the property, making information easier to find when teams or contractors change.

Your Contractors. Your Choice.

MyMatrixHub® is independent of CRS Matrix’s Leicester-based engineering service. Continue using your own contractors and agency arrangements, with structured ways to record their findings and documentation. If you instruct CRS Matrix locally, our managed service and digital records can work together. The platform itself does not take over the management of your chosen contractors.

Works Alongside the Systems You Already Trust

Your agency software doesn’t need replacing. MyMatrixHub® adds a specialist compliance management layer alongside the systems your team already uses.

Information is already being exchanged with systems including Fixflo, Street and Arthur, while those integrations continue to be developed and refined. Available connections and data flows vary as development progresses.

Property History Matters. Because confidence comes from knowing where you stand.

Compliance indicators reflect information and evidence recorded in the platform. They do not guarantee legal compliance or replace professional assessments and the responsibilities of landlords and agents.

Our approach brings experienced engineers, thoughtful coordination and clear reporting together, helping your agency deliver a more reassuring experience for everyone involved.

Frequently Asked Questions

Practical answers for letting agents and property managers across Leicester and Leicestershire, from your first instruction and tenant appointments to reports, landlord decisions and digital compliance oversight.

Getting to Know CRS Matrix

How does a letting agency start working with CRS Matrix?

Start with a conversation about your agency, the properties you manage and the support your team needs. You can begin with a handful of instructions rather than moving an entire portfolio at once. We’ll discuss how you prefer to send jobs, communicate with tenants and receive updates, then let the service speak for itself.

Do we need to commit to a minimum number of properties or jobs?

You can approach us about individual jobs or ongoing support. We don’t expect every agency to transfer its whole portfolio to get started. Any agreed rates, service arrangements or specific commitments can be discussed directly so both teams understand what’s included.

Which areas does CRS Matrix cover?

Our engineering and managed compliance services focus on Leicester and Leicestershire. MyMatrixHub® is a separate digital compliance management platform available UK-wide, including to agencies that use their own local contractors.

What compliance and maintenance services can you help our agency arrange?

Our core services include gas safety inspections, boiler servicing and diagnostics, EICRs, electrical remedials, PAT testing, Legionella risk assessments and associated repairs. We can also discuss related requirements and suitable specialist partners where appropriate. We’ll clarify the scope of any instruction before work proceeds.

Day-to-Day Support for Property Managers

How do our property managers send instructions to CRS Matrix?

Send us the property details, the work required and the relevant tenant or access information through your agreed instruction route. Our team can then process the instruction and coordinate the next steps. We can discuss an approach that fits your agency’s existing workflow rather than introducing unnecessary administration.

Will you contact our tenants directly to arrange appointments?

Yes, where authorised and provided with the appropriate contact details. We understand that a rental property is somebody’s home, so we aim to communicate clearly, explain the reason for the visit and arrange access considerately. Your team can let us know about relevant access instructions or tenant circumstances.

What if a tenant doesn’t respond or access cannot be arranged?

Access isn’t always straightforward. Our team makes reasonable contact attempts through the agreed process and records relevant outcomes. Where an appointment cannot be secured, we’ll refer the matter back to your property management team for the next decision, rather than treating an unresolved instruction as complete.

Can your engineers collect keys from our agency?

Key collection can be arranged where practical and agreed in advance. Please include collection and return details in the instruction, along with any access restrictions. We’ll confirm the arrangements for the particular visit rather than assume keys will always be available.

How will our property managers know what’s happening with a job?

We understand the questions your team faces: has the instruction been received, has the tenant been contacted, is the visit booked and what happened afterwards? Our office coordination and available job updates help keep the position clear. MyMatrixHub® can also provide access to relevant recorded information and job status where available.

What happens when an engineer identifies additional work?

The engineer records the relevant findings and recommendations. Where further work is required, we’ll explain the issue and the proposed next steps, including whether a quotation or further investigation is needed. Work outside the existing authorisation is discussed and agreed before proceeding, except where immediate safety action is required within the engineer’s responsibilities.

Reports, Recommendations and Accountability

Will our property managers and landlords understand the engineer’s findings?

That’s a priority for us. A report should help somebody make a decision, not leave them guessing what technical terminology means. We aim to explain what was found, why it matters and what happens next. Where a proposal is needed, we provide a clear scope and supporting explanation so non-technical readers can assess it.

How do you distinguish urgent remedial work from advisory recommendations?

We distinguish immediate safety concerns and work needed to address an identified defect from improvements or future considerations, using the relevant inspection standards and professional judgement. For example, an EICR may record different classification codes. We’ll explain the significance of the findings rather than treating every recommendation as equally urgent.

Can a landlord discuss a quotation or technical recommendation with CRS Matrix?

Yes. We’re happy to explain our findings and proposals, either through the property manager or directly with the landlord where the agency agrees. We respect the agency’s relationship with its client and want the landlord to understand the proposed work before making a decision.

What happens when a job needs landlord authorisation?

We’ll set out the recommendation or proposed work for consideration and follow the agreed authorisation route. Your team and the landlord remain in control of expenditure decisions. Where further work is approved, we can then coordinate the next practical steps, including materials and a return visit if required.

What information will we receive after an inspection or repair?

The documents depend on the work undertaken and its outcome. They may include certificates, inspection reports, engineer findings, recommendations, quotations and relevant job records. If something remains outstanding, we’ll aim to make the reason and the next action understandable rather than leaving your team with an unexplained document.

MyMatrixHub® and Your Existing Systems

What is MyMatrixHub®, and how does it help letting agencies?

MyMatrixHub® is a separate digital property compliance management platform. It brings recorded compliance information, supporting documents, property history and outstanding actions together so property managers and directors can better understand what’s recorded, what needs attention and what may happen next. It complements CRS Matrix’s local managed service but can also be used independently.

Can our agency use MyMatrixHub® with its existing contractors?

Yes. You can continue instructing your own contractors. MyMatrixHub® provides structured ways to capture relevant findings and documents against each property. Your agency remains responsible for selecting, instructing and managing its contractors; using the platform does not mean CRS Matrix oversees those independent appointments.

Does MyMatrixHub® replace our existing property management software?

No. It is designed as a specialist compliance management layer alongside your existing agency software, not a replacement for your lettings or sales platform. Information is already exchanged with systems including Fixflo, Street and Arthur, while those integrations continue to be developed. The data available through each connection may vary.

Can agency directors review compliance information across their portfolio?

MyMatrixHub® is designed to make recorded compliance information easier to review across properties. Status indicators can help identify current records, approaching renewals and matters needing attention. Where reasons for outstanding actions have been recorded, they can provide useful context for management review. The displayed position depends on the evidence held in the platform.

Can MyMatrixHub® help us prepare for a compliance audit?

Organised property records, certificates, inspection history and explanations of outstanding actions can make internal reviews and audit preparation easier. The platform can help your team locate available evidence and identify gaps, but it does not certify that every legal duty has been met or guarantee an audit outcome.

What happens to property knowledge when a property manager leaves our agency?

Property history shouldn’t depend on one person’s memory or inbox. Keeping relevant certificates, inspection findings, recommendations and job records against the property can help colleagues understand what’s happened before and what’s still outstanding. Access to records remains subject to your agency’s permissions and data arrangements.
